From Legacy AMS to Cloud-Native Member Experience

OVERVIEW

Modernising a national trade association's member ecosystem.

The client is a leading trade association representing a segment of the financial services and consumer data industry in the United States, with a history spanning more than a century. It represents credit bureaus, consumer reporting agencies, background screening companies, and organisations involved in consumer data management — promoting responsible use of consumer information while ensuring compliance with industry regulations. In addition to advocacy, the organisation provides regulatory compliance education, delivering industry-recognised training programmes to more than 25,000 professionals across its industry. The organisation previously managed its members, events, education, subscriptions, and communications using a legacy association-management platform, integrated with several third-party systems — a learning management system, middleware, cloud storage, video conferencing, and its website vendor. Over time, this created disconnected systems, manual communications and enrollment processes, security gaps around hosted recordings, limited role-based permissions, and inefficient reporting.

A modern, secure, and highly automated member experience, built cloud-native from the ground up.

THE CHALLENGE

Modernising a fragmented, manual member ecosystem.

Members, events, education, subscriptions, and communications had grown across multiple disconnected systems, with manual processes filling the gaps — and industry-specific compliance requirements that couldn't be compromised in the process.

01

Fragmented, Disconnected Systems

Membership, learning, events, and communications were split across multiple integrated third-party systems with manual processes bridging the gaps — creating inefficiency and an inconsistent member experience.

02

Manual, Repetitive Processes

Webinar enrollment, learning-seat assignment, and member communications were all handled manually, consuming staff time and introducing room for error at scale.

03

Security & Access Control Gaps

Sensitive recordings were hosted on publicly accessible cloud storage links, and role-based permissions were limited — creating real exposure risk for compliance-sensitive content.

04

Compliance Content Protection

Certain member content is subject to industry-specific access restrictions requiring mandatory terms acceptance and strict role-based gating — a compliance requirement that couldn't be compromised during migration.

05

Full Association Lifecycle Coverage

The new platform had to support the complete member lifecycle — renewals, upgrades, organisational hierarchy, events, education, commerce, and reporting — as a single, cohesive system rather than a patchwork of tools.

WHAT WE DID

A complete association management system, rebuilt cloud-native.

The team implemented a centralised Association Management System on a modern cloud platform, replacing the legacy system and its patchwork of manual processes with automated, role-aware workflows.

01

Compliance Content Access Control

Implemented role-based access so only authorised members could reach compliance-restricted resources, with mandatory terms acceptance and automatic redirection for unauthorised users to a request-access flow.

02

Automated Enrollment & Seat Assignment

Built automatic subscriber identification, enrollment, and invitation for new content — plus a rebuilt learning-seat assignment system with unique assignment IDs, completion sync, and automatic seat removal on cancellation.

03

Secure Media Library

Replaced publicly accessible cloud recording links with a secure, membership-authorised streaming library featuring restricted downloads and full access logging.

04

Self-Service Member Portal

Delivered a unified portal where members manage profiles, register for events, purchase memberships and courses, assign learning seats, view learning history, access recordings, and download certificates.

05

Full-Stack QA Across the Migration

Executed functional, integration, regression, UI, security, and negative test cases across smoke, sprint, and UAT cycles — validating member registration, renewals, upgrades, events, payments, and reporting end-to-end.

06

Production Validation & Release Support

Supported UAT and production go-live with defect logging, root cause analysis, retesting, and regression verification — ensuring a stable cutover from the legacy platform.

A fragmented, multi-system member ecosystem consolidated into a single, cloud-native Association Management System — improving automation, security, reporting, and user experience.

Manual webinar enrollment eliminated — the system automatically identifies subscribers, enrolls members, creates guest registrations, and sends invitations, respecting subscription validity dates.

Compliance-restricted content fully secured — role-based access control, mandatory terms acceptance, and access logging replaced unsecured public cloud links.

Learning management seat assignment rebuilt natively — with unique assignment IDs, completion sync, manual override, and automatic seat removal on cancellation.

A unified self-service member portal delivered — covering profiles, events, memberships, courses, learning history, recordings, and certificates in one login experience.

Full QA coverage across the migration — functional, integration, regression, UI, security, and negative testing executed across smoke, sprint, and UAT cycles with no critical issues escaping to production.

A scalable, cloud-native foundation established — modular Azure-hosted architecture ready for future enhancements without re-architecture.
